Introduction

Docalen ("we", "our", or "us") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our mobile application and web service (collectively, the "Service").

The short version: we don't run ads, we don't sell your data, and your family's information is shared only with the family members you invite.

Information We Collect

Information you provide

• Account information: email address, display name, and profile picture when you create an account.
• Authentication data: sign-in credentials through Apple Sign-In, Google Sign-In, or email/password.
• Task and calendar data: tasks, calendar events, reminders, alarms, and related content you create.
• Lists, notes, and meal plans: checklists, notes, recipes, and weekly menus you create.
• Messages and files: chat messages, comments, and files (including photos, voice, and video recordings) you choose to send or upload.
• Family data: family names and member relationships when you create or join families.
• Saved locations: if you use location-based reminders, the places you save (for example "home" or "school") and the reminders attached to them.
• Connected calendars: if you connect Google Calendar, the events needed to show and sync your calendar. Access tokens are encrypted at rest, and you can disconnect at any time in Settings.
• Photo captures: if you use Magic capture, the photo you snap (a flyer, an invitation, a practice schedule) is sent to an AI service to be read and turned into draft events and tasks. The photo itself is not stored — it is processed and discarded, and we keep only a checksum for abuse prevention. Nothing is added to your calendar until you review and approve the draft.

Information collected automatically

• Device information: device identifiers for push notification delivery and syncing across your devices.
• Usage data: timestamps of account creation and content changes, used for sync and conflict resolution.
• Website analytics: our marketing website (docalen.com) uses cookieless, privacy-focused analytics (Plausible) — aggregate page counts only, no cookies, no cross-site tracking, no personal identifiers.
• Location: location-based reminders are evaluated on your device using Apple's geofencing. Your movement history is not tracked or uploaded — only the saved places you create are stored.

How We Use Your Information

We use the collected information to:

• Provide and maintain the Service
• Authenticate your identity
• Sync your data across devices
• Send push notifications for reminders, alarms, and shared activity
• Enable family collaboration features
• Process subscription purchases
• Respond to support requests

Data Sharing

We do not sell your personal information. We share data only:

• With family members: content you share within families you join (tasks, calendars, lists, messages, files) is visible to those family members, according to the sharing controls in the app.
• With service providers: cloud hosting and payment providers that store and process data on our behalf.
• For legal requirements: when required by law or to protect our rights.

Payments

Subscriptions are processed by Apple (App Store) or Stripe (web). We never see or store your full card details. Payment providers share with us only what is needed to activate your subscription.

Data Storage and Security

• Data is stored on secure servers with encryption in transit (TLS) and at rest.
• Authentication tokens are stored securely (Keychain on iOS, encrypted storage on web), and sessions can be revoked from Settings ("Sign out everywhere").
• We retain your data as long as your account is active.

Your Rights

You have the right to:

• Access: view your data through the app.
• Update: modify your profile and content.
• Delete: delete your account and all associated data through Settings.
• Export: request a copy of your data by contacting support.

Children's Privacy

Accounts are for users 13 and older. Parents may add younger family members' tasks and schedules to their own family; we do not knowingly collect information directly from children under 13.

Push Notifications

We send push notifications for:

• Task reminders and alarms you set
• Task assignments and updates from family members
• Messages, comments, and file transfers addressed to you

You can disable notifications in your device settings at any time.

Third-Party Services

We integrate with:

• Apple Sign-In: subject to Apple's Privacy Policy
• Google Sign-In and Google Calendar: subject to Google's Privacy Policy
• App Store: subscription purchases subject to Apple's Terms
• Stripe: web subscription payments subject to Stripe's Privacy Policy
• AI processing: Magic capture photos are processed by an AI model provider on our behalf, solely to extract the draft events and tasks you then review — see "Photo captures" above.

California Residents

Under the California Consumer Privacy Act (CCPA), California residents have additional rights, including the right to know what data we collect and the right to request deletion.

European Users

For users in the European Economic Area, we process data under legitimate interest for service operation and consent for optional features. You have rights under GDPR, including data portability and the right to lodge a complaint with a supervisory authority.

Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of changes by updating the "Last updated" date and, for significant changes, through in-app notification.
